1. Go to Lists and then into Frames

2. Click on Stock Take button at the top.

3. Click on START STOCK TAKE. This will show you a list of all the stock number currently used by Opticabase Stock with a zero number of pieces next to each one. As you add a stock number it will increase the number of pieces for that stock number.

4.  Enter stock No. or scan a barcode into “Find Stock No” box and press enter on the keyboard. Then check the correct frame appears in the frame box. Then type in or scan  your next number. (you can ignore preceding zeros as they will automatically be put in eg. Type 658 instead of 000658 if they are 6 digits long. Use the right hand “Find Stock No.” for 4 digit long Stock numbers.) Use the left box for stock numbers that are 6 numbers in length and use the right box for stock numbers that are 4 numbers in length.

5. Keeping repeating step 4 until you have gone through all the frames.

6. Click on “Frames left in Opticabase” button to display any frames that are in Opticabase that have not been accounted for in the practice. Print the list off and manually remove these frames from Opticabase in the Lists/Stock screen.

7. Clicking on “Post Stock Take List” after scanning will give you a list of all frames scanned/entered along with the total cost value.

  • You can go out of the stock take screen at any point during a stock take and return to continue. When you return, do NOT click on ‘Start Stock Take’, just continue entering the stock numbers.
  • If you enter a stock number and the frame that appears is incorrect then click on Undo.
  • If you have a box full of identical frames you can click on the Multi button after entering the first one and type in the total quantity you have in the box.
  • You can look at ‘Frames left in Opticabase after Stock Take” or “Post Stock Take List” at any point during the stock take.
  • If you realise that you made an error you can find the stock number by entering the stock number in the “Search stock” box and then press enter on the keyboard. Then alter the number of pieces. Never leave the number of pieces blank – insert a zero.
  • Once you have finished the stock take you must save as a PDF or Print the “Post Stock Take List”  before selling or adding frames to Opticabase.
