Using the Diary: (Click on any heading for more)
Use the pointing finger buttons at the top of the screen to go forward and backwards by one day or the +7 and – 7 buttons to move by one week. You can insert a date into the box under the date (top left) and click “go” to move to a specific date.
The large notes box at the top is for recording daily notes such as “Ann off on holiday”
Go to Lists and click on “Diary Times”. Insert times for each day of the week for each Optometrist.
Then choose which Optometrist is testing by choosing their name from the drop down box close to the top of the screen on the diary screen itself.
Then just click on the “Add Times” button every time you come to a diary page that requires times.
To insert an extra time in the middle of the day. Click on “New” at the top of the left hand column and type in the new time. That appointment will appear in the middle of the rows at the appropriate time.
Adding a NEW patient to Opticabase:
The best way is to go to the patient details screen. Click “Add new patient” on the right and insert all the patients details (Name, address etc). Then click on Diary and you can click on “2” next to the time which you want to book them in for.

Insert their details into the boxes in the top right corner of the diary screen and then click “Add”. Then click “2” next to the time which you want to book the patient in for.
Booking in an existing patient:
Search for the patient and bring up their Patient details. Click on Diary and you can click on “2” next to the time which you want to book them in for.
You can confirm patients’ appointments by clicking “SMS All” at the top of the screen or clicking on “SMS” at the end of a line for a specific patient. The ones that have been confirmed will have their time changed to yellow. You can then click on the square box between the patients names and note (eg Adult Eye Exam) for the appointments that have not been confirmed and phone the patient and record the fact that they have been phoned for confirmation.
Tick the box to the left of the patient’s name in the diary, to show that they have arrived. Then click on “Px” next to the patient’s name to bring up that patient’s details. Enter the Last (previous) exam date, today’s exam date and recall date (This can be left until after the exam if you want). Then print any GOS forms that are required, along with Px Details (Clinical) or record card (Dispensing Reception Plus)
Changing the number of diaries:
To change how many diaries you see on the screen. Go to Lists and then Practice Details (Top of middle column). Then half way down on the right, at the top of the brown area, there is a drop down box to change how many diaries you want.
The number of diaries has to be the same everyday. You cannot have a single diary for Mondays but a double diary for Tuesdays.
Keeping a track of patient who would like a cancellation appointment if one comes available:
