To set up passwords so that changes by staff to dispenses can be tracked is done as follows:

Go into Lists and then Staff.

Click on Password and then enter a password for each staff member and tick whether they are an administrator (administrators can do certain things that non-admin cannot do, such as Delete a dispense)

Go into Lists and Practice Details. Tick the box, 2/3 of the way down the right hand side, “Passwords required for dispenses”. You can also tick the “Diary” box next to it if you wish to monitor who books a patient in for an appointment.

Set the Practice Details password to one that just you know.

If you click on the button at the top of the Practice details screen, “List Passwords” you can then set which type of password is required when going into the different lists from the Lists screen.

ListsPasswordsWhen a dispense is done the password will be needed to “Add a dispense”. To change a dispense you will need to click on the “Key” under “Add Dispense” on the dispense screen before making any changes.

To view a report of any changes that have been made you go into Lists and then Bottom of the 4th Column click on “Dispensings”. Enter the dates for the period that you are checking and click on the “Dispensing Changes” button.

Staff password for logging on

1. You need to give everyone passwords in Lists/Staff

2. You need to go into Lists and Practice details and tick the following:

  • Tick Required for dispenses
  • Tick Diary
  • Enter seconds until idle, such as 60
  • Enter a general idle password (this won’t be used but is there so the idle timer works)
  • Tick staff log on

When a member of staff finished they should click on the large box with the practice/branch name written in it on the main menu to log out.

Once logged out you will just see just the large box with the practice/branch name written in it. To log in, you just type in your password on the keyboard and press enter on the keyboard. No need to click in any box.
